To do:

  • In consultation with your (co)supervisors and after approval of your portfolio (important: check this webpage) by the research institute, submit the final version of your manuscript in Hora Finita
  • Your supervisors receive an invitation to assess your manuscript
  • Meanwhile your supervisor composes the doctorate committee (see Committee of Assessment)

          Note 1: Only after approval of the portfolio, it is possible to submit the manuscript in Hora Finita for assessment by the Doctorate Committee (also see below)

          Note 2: In addition to both the VU Amsterdam and the University of Amsterdam Doctorate Regulations, the Amsterdam UMC Executive Board has specified additional requirements, to harmonize the rules that apply to PhD students preparing a doctorate at either university in Amsterdam (by decision 7 July 2021; read complete document, by opening '>')

          1. Additional requirement to the VU Amsterdam Doctorate Regulations (Article 16, Conditions)

            The thesis contains the following:

            • At least four chapters describing original scientific research, in which in three chapters the PhD candidate as the responsible researcher takes responsibility for all elements of the research, which fact will be made visible in their position as first author (including shared first author roles)
            • Of these chapters, at least two have undergone the whole submission cycle, including rebuttals, in peer reviewed journals. Committee members must be informed of the status of these articles by presentation of the publication details or the editorial decision letter
            • The thesis may only include a limited number of manuscripts for which the PhD candidate does not act as first author. In these cases, the substantial contribution of the PhD candidate to the research reported must be evident to the committee members

            2. Addition to the VU Amsterdam Doctorate Regulations (article 15)

            The thesis must contain a portfolio of education (guideline 30 EC)

            Note 3: For PhD candidates who have started their PhD trajectory as of 1 September 2022 it is mandatory to do a plagiarism scan in the first two years of their trajectory. Check this webpage

            Note 4: For composition of the Doctorate Committee for assessment of the manuscript and workaround, please check 'Committee of Assessment'

              Note 5: To avoid the members of the Doctorate Committee to receive an invitation for assessment without a link to the manuscript, it is not possible to enter and confirm the proposal of the Doctorate Committee in Hora Finita, before the manuscript has been uploaded and approved by the (co)supervisors

              Note 7: In case of shared first author roles on a paper: be aware that it is not permitted to reverse the order of the names mentioned

              Tips:

              The Doctoral Thesis should include the following elements >>
              • Title page (Art. 19.1 VU PhD regulations)
              • On the next page: names of the members of the supervising team, followed by the members of the doctorate committee (Art. 19.2 VU PhD regulations)
              • Name of any organization/person from outside the university that (partly) supported the doctoral research >> on the verso of the page with the names of the supervisors and assessors (note: commercial expressions are not allowed!!) (Art. 19.3 VU PhD regulations)
              • An introductory or concluding chapter (Art. 16.4 VU PhD regulations)
              • Page with reference list, providing an overview of the authors of each article and an explanation of the co-authors' contributions (Art. 16.5 VU PhD regulations)
              • Portfolio (mandatory by the Executive Board; faculty regulation)
              • An abstract in English (which is also the language of the dissertation); optionally, an abstract in Dutch, but this is not mandatory (Art. 18.2 and 3 VU PhD regulations)
              • Acknowledgments >> not mandatory
              • Something about yourself >> not mandatory
              Requirements & instructions for the submission of the final manuscript
              • The content of the manuscript must be final and complete; no changes are allowed after the manuscript has been submitted for assessment by the Doctorate Committee. The only exceptions are corrections to the layout and design, typing errors, publishing details, ISBN and acknowledgements
              • The manuscript must be submitted as a PDF:
                Without cover page and acknowledgements; Without the academic title page (this needs to be uploaded in Hora Finita, see Title Page); But with summaries in English and/or in Dutch: If the dissertation is written in Dutch, then a summary in Dutch and an English translation of the title and summary of the contents will be appended to the dissertation. If the dissertation is written in English, then an English summary of the contents must be appended to the dissertation (and in Dutch (not mandatory)). The content of the summaries in different languages must be identical
