To do:

  1. A PhD candidate will approach you with a request to act as their PhD counsellor
  2. The PhD candidate will fill in a Progress Report, discuss this with his/her PhD supervisor and send it to you
  3. Read the Progress Report, it is ok to ask for more information if needed
  4. You will receive an invitation for a meeting with the PhD candidate and the PhD supervisor(s)
  5. During the meeting:

    1. The first part is together with both the PhD supervisor(s) and the PhD candidate. The second part is just for you and the PhD candidate together
    2. The PhD candidate will prepare a short presentation for the first part of the meeting, in order to give an overview of the project and the progress that has been made
    3. Discuss the project and the progress and ask explicitly for feedback from the supervisor
    4. In the second part of the meeting the PhD supervisor(s) will leave. Talk with the PhD candidate separately to address personal issues. Ask for the quality of the supervision and general well-being of the candidate. This conversation is confidential and does not need to be discussed with the PhD supervisor(s); only if the PhD candidate indicates that this may be helpful
  6. After the meeting:

    1. You have to complete the Consultation Form with your advice and sign it
    2. Send the signed form only to the PhD candidate (and not to the PhD supervisors)
    3. The PhD candidate will endorse the feedback in the form by signing it
    4. It is up to you to decide whether this is a one-time meeting or follow-up meetings may be planned for further support/advice/mentoring
