All Amsterdam UMC PhD Candidates need to register themselves at the Amsterdam UMC Doctoral School as soon as possible after the PhD trajectory has started to use the services (note: you also need to register with your university (VU of UvA) seperately, see information below).

For the registration you'll need:

  • A copy of your Master diploma (for exceptions, see “pre-PhD” below).
  • Your PhD Trajectory Confirmation form, signed by your supervisor (See Downloads below).
  • An Amsterdam UMC email account. In certain situations, such as doing research at an external organisation, you will need a guest appointment for that. The application for the guest appointment can be made by the supervisor or secretary of the department at the Amsterdam UMC to which the supervisor is affiliated. The account must be activated at the ICT helpdesk; this can usually be done online (ICT Service Portal).
  • Make sure you are a candidate at the Faculty of Medicine of VU or UvA. PhD Candidates at the Faculty of Dentistry (ACTA) need to register with the ACTA Graduate School and are not accepted at the Amsterdam UMC Doctoral School.
  • Make sure you know what type of PhD candidate you are: Not sure which UNL-category applies to your PhD trajectory? Please consult the flowchart on page 5 in the Onboarding Information. Read more about UNL.

After registration, your name and email address will be shared with ASAP (PhD student association; the website is under construction), so that you can remain informed about their social events and workshops.

You will automatically receive the Doctoral School newsletters as well. If you do not wish to receive this information or newsletters, you can unsubscribe from the mailing lists, upon receiving the first emails.

Your personal data will only be requested in the context of your PhD trajectory. Read our Privacy Statement.

Registering with your university: UvA or VU University

After registration with the Amsterdam UMC Doctoral School, you also need to register with your university separately. Depending on where your main promotor is appointed, you will graduate at UvA or VU University.

Based on the registration at the Doctoral School, a Hora Finita account will be created by the Doctoral School colleagues. This is an important university PhD graduation tracking system, you will need throughout your PhD. You will automatically receive an email about this.

In Hora Finita, please upload all the required documents for official admission to the doctoral program. This includes, amongst others, your Training Plan (TSP) (Addendum of the PhD plan).

  • Once you are registered in Hora Finita you have to fill in your information there as well. This is mandatory to complete the registration at the VU University and get admitted to the PhD trajectory.
  • We are aware of the double entry and effort you have to make. Unfortunately it is not possible to solve this now. We aim to find a solution in the future to avoid this and make a connection between the registration of the Doctoral School and Hora Finita.

Pre-PhD exceptions to the master:

Note: In exceptional cases students can enter the PhD program while they haven't obtained their Master's diploma yet (pre-PhD). Before registering with the Doctoral School, make sure to read the page about the Pre-PhD procedure for UvA PhD candidates, or the MD/PhD procedure for VU PhD candidates.

Tips:

Pay attention! If you close your browser while filling in the web form or click 'back' in the browser, your entered data will not be saved. So be aware it is also mandatory to fill in your @amsterdamumc.nl email address!

Note: if you are an IOO PhD Candidate, choose in the online registration form for:

  • APH, as research institute and
  • Staff Support Services Departments, as the Amsterdam UMC department
