Organization and support of AI&I (mini)symposia and seminars
AI&I offers support for organizing your (mini)symposium or seminar — both practical and financial. Below you’ll find an overview of the requirements and what can be expected from the host and from AI&I.
Requirements for an AI&I (mini)symposium/seminar:
- The topic should align with the Immunology and/or Infectious Diseases program and be of interest to a broad audience.
- The speaker must be renowned and have expertise in the subject matter of the seminar.
- The organization should reach out to the AI&I community to provide an opportunity to 'Meet the Expert'. Although not strictly essential, we encourage organization of a master class to be taught by the speaker.

| • Suggests a suitable location for the presentation (for example, for small events: lecture room at your own department - for larger symposia: O2 Auditorium VUmc / Coster-, Fonteyn- or Vrijzaal AMC / external location) | • If necessary, assists in finding a suitable location of presentation • Books the location • Orders catering |
| • Asks the speaker for a short bio, photo, talk title and a brief overview of the talk • Provides a short informational text (2-3 sentences) and program in case of multiple speakers • Creates a Teams link (so they can manage the options in Teams themselves) | • Creates seminar flyer • Announces seminar on AI&I website and in the newsletter • Sends announcement 2 weeks ahead by email Sends a reminder announcement on the day of the seminar |

Costs reimbursed by AI&I
(in case of a joint event with another research institute, costs will be shared)

| Travel costs | • If possible by train: first-class ticket. By plane: economy class ticket |
| Hotel costs | • Max. 250 euro per night including breakfast • Max. number of nights: 2 |
| Dinner with speaker | • Max. 500 euro (including additional guests) |
