Organization and support of AI&I (mini)symposia and seminars

The AI&I Seminar Committee supports the organization of (mini)symposia and seminars, both practically and financially. We provide a platform to invite renowned speakers and engage the AI&I community with current and exciting topics in Immunology and Infectious Diseases. 

Would you like to organize an engaging seminar or (mini)symposium in Immunology and Infectious Diseases? 

Submit your proposal to the committee for approval at AI&I info (aii@amsterdamumc.nl).

Requirements for an AI&I (mini)symposium/seminar: 

  • The topic should align with the Immunology and/or Infectious Diseases program and be of interest to a broad audience. 
  • The speaker must be renowned and have expertise in the subject matter of the seminar.
  • The organization should reach out to the AI&I community to provide an opportunity to ‘Meet the Expert’. Although not strictly essential, we encourage organization of a master class to be taught by the speaker.
  • Travel and accommodation costs for members of a PhD defence committee are not eligible for AI&I funding. 
    • If a member of a PhD defence committee contributes to an additional AI&I activity (e.g. a masterclass, workshop, or seminar), AI&I will cover the additional accommodation costs (max 250 euro), as well as venue rental and catering costs.

Organization

Host AI&I
• The host requests permission from the AI&I Seminar Committee (AII@amsterdamumc.nl) to organize the event (symposium, seminar, or lecture). • Include the following information in the request: - Proposed date and time of the event (or indicate that these can be coordinated with AI&I) - Name of the speaker - Brief motivation for organizing the event
• Finds a suitable venue for the presentation. • Books the venue if it is available free of charge. Suggested venues: - A venue within your own department. - For larger symposia: the Costerzaal, Fonteynzaal, or Vrijzaal (AMC), or an external venue. • Books the venue if a rental fee applies.
• Invites speaker and prepares the program together with the speaker
• Asks the speaker about their travel preferences. • Travel and accommodation: Depending on the total costs, discuss with AI&I who will arrange the travel and hotel booking. • Travel and accommodation: Depending on the total costs, discuss with AI&I who will arrange the travel and hotel booking.
• When catering is required, specify: - the serving time - the required quantity - the type of catering Pass this information on to AI&I. • Orders catering
• Provide event details to AI&I. *See below for required information. • Creates seminar flyer
• Creates a Teams link (so they can manage the options in Teams themselves) – if applicable • Announces seminar on AI&I website and in the newsletter • Sends announcement 2 weeks ahead by email • Sends a reminder announcement
• Copies AII@amsterdamumc.nl in all correspondence with the speaker

Costs reimbursed by AI&I - 

Total amount may not exceed 1.000 euro.

Catering • Drinks and snacks
Hotel costs • Max. 250 euro per night including breakfast • Max. number of nights: 2
Travel costs • If possible, by train. By plane: economy class ticket
Venue of the presentation • Max. 400 euro rental costs at location AMC or VUmc, costs for external venues can be discussed on a case-by-case basis

In case of a joint event with another research institute, costs will be shared. AI&I must be the primary OZI.
